Obtain receiving instructions first
Before a supplier dispatches to Guangzhou, obtain the receiving reference and agreed delivery instructions. Use the same reference on the package marks and packing data. Confirm the supplier, number of packages, expected arrival and any unloading requirement; a public office address alone is not an inbound authorization.

Measure after protective packing
Measure external length, width and height including pallet overhang, and weigh the complete packed unit. Separate rows for different sizes and weights. Protect corners and internal movement; indicate fragile handling and whether stacking is allowed. Packing changes can alter both volume and billable weight.

Approve changes before consolidation
Specify whether the warehouse may open boxes, count items, remove retail packaging or combine suppliers. Agree the inspection scope and retain before/after photos if requested. Record missing packages or damaged outer packing before deciding whether to hold, repack or ship.
